FileHub Privacy Policy

This Privacy Policy explains how FileHub ("FileHub", "we", "us", or "our"), operated under the MokaIO brand, handles information when you use the FileHub Android application and related services.

1. Privacy-first design

FileHub is designed as a local-first file workspace. Files that you open, create, edit, scan, convert, or extract are processed on your device by default unless you explicitly choose a feature that requires an online service, cloud backup/sync, AI OCR, export, or sharing.

2. Information we may process

• Account information: If you create or use a FileHub account, we may process your email address, account identifier, authentication provider information, and basic account/profile data needed to sign you in and manage your account.
• Local file information: FileHub may store file names, paths, sizes, types, recent-file state, favorites, workspace state, and related metadata locally on your device to provide file-management features.
• File content: File content normally remains on your device. File content is only transmitted off-device when you intentionally use an online feature such as cloud sync/backup, AI OCR, sharing, or another feature that clearly requires transmission.
• Cloud sync/backup data: If you enable a cloud feature, selected file content and/or file metadata may be uploaded to FileHub's configured backend services so that the requested feature can work.
• OCR data: Local OCR is processed on-device. When you choose AI OCR, the image or document content needed for recognition is sent to the selected AI service. FileHub may use Google Gemini for included AI OCR. If you use BYOK ("Bring Your Own Key"), the selected content may be sent to the provider you choose, such as Google Gemini or OpenAI, according to that provider's terms and privacy practices.
• Purchase and subscription information: Purchases are processed by Google Play. FileHub may receive subscription/product identifiers, entitlement status, transaction references, and related purchase-state information through Google Play and RevenueCat. We do not receive or store your full payment-card details.
• Diagnostics: We may process limited technical information such as app version, device/OS information, crash reports, and error diagnostics when needed to maintain reliability and security. Where crash reporting is enabled, this may be processed by a diagnostics provider such as Sentry.

3. How we use information

We use information only as reasonably necessary to provide FileHub, authenticate users, maintain local and cloud features, process subscription entitlements, provide OCR and conversion functions, prevent abuse, diagnose failures, protect security, respond to support requests, and improve reliability.

4. Sharing of information

We do not sell your personal information. We may share only the information necessary for a requested feature with service providers that help operate FileHub, such as authentication/database infrastructure, Google Play, RevenueCat, crash diagnostics, and AI providers used for AI OCR. We may also disclose information when required by law or when necessary to protect users, the service, or our legal rights.

5. Local files and external storage

Files saved inside FileHub's private app storage are not normally visible to other apps. When you choose to save, export, or share a copy to Android's public or user-selected storage, that copy is controlled by the storage location and may remain there even if you later delete your FileHub account or uninstall FileHub.

6. BYOK API keys

If you choose a BYOK feature, your API key is used only to provide the provider connection you requested. You are responsible for the security, billing, limits, and acceptable use of your own provider account. FileHub does not control the third-party provider's processing once a request is sent to that provider.

7. Data retention

Local app data remains on your device until you delete it, clear app data, or uninstall the app, subject to Android behavior. Account and cloud data are retained only for as long as needed to provide the service, maintain security, resolve disputes, comply with legal obligations, or complete deletion requests. Some backup or security records may remain for a limited period before permanent removal.

8. Security

We use reasonable technical and organizational safeguards designed to protect account and service data. No storage or transmission system can be guaranteed to be completely secure, so you should keep your device, account credentials, and BYOK keys protected.

9. Your choices and rights

You can choose whether to use optional cloud and AI features. You can also request deletion of your FileHub account and associated server-side personal data. See the FileHub Delete Account page for details. Depending on your location, you may also have legal rights to access, correct, restrict, or delete personal information.

10. Children's privacy

FileHub is not directed to children under 13, or a higher minimum age where local law requires one. If we learn that personal information has been collected from a child in violation of applicable law, we will take reasonable steps to delete it.

11. Third-party services

Third-party services used by FileHub have their own terms and privacy policies. These may include Google Play, RevenueCat, Supabase or equivalent backend infrastructure, Google Gemini, OpenAI when selected through BYOK, and diagnostics providers.

12. Changes to this policy

We may update this Privacy Policy when FileHub changes or when legal or operational requirements change. The effective date at the top of this page will be updated when material revisions are made.
